LEGAL & PRIVACY

At Omega Academy, protecting your personal information matters to us. This Privacy Policy explains what data we collect, how we use it, and what rights you have. It applies to all personal information you share with us directly, or that we receive from others while working with you. When we say “Omega Academy”, “we”, or “us”, we mean O Academy (Pty) Ltd, our legal entity, which trades as Omega Academy, and any of its affiliates that may process your personal information. Each operates as its own legal entity. We use the term “personal information” to describe any data that identifies you or can be linked to you. When we refer to “processing”, we mean collecting, storing, using, or sharing that data in any way.

We handle personal data for different reasons depending on our work, but we are always transparent about why and how we do it.

Why we process personal data

  • We process personal information to deliver our educational services and manage relationships with our students, partners, and suppliers.
  • We process personal information to run and improve our business operations and service experience.
  • We process personal information to meet our legal, regulatory, or professional obligations.
  • We process personal information to fulfil any contracts we have with you.
  • We process personal information to communicate with you about opportunities, insights, and updates related to our work.

Where needed, we may also process your information with your consent, which you can withdraw at any time.

When and how we share personal data

We may share your information only when it’s necessary and done responsibly.

Within Omega Academy:
We may share data between our teams or affiliates to deliver our services efficiently and consistently.

With trusted partners and service providers:
We work with select partners who help us operate and improve our systems and services—for example, cloud storage providers, analytics tools, and IT security partners. These providers are required to handle data securely and only in line with our instructions.

Legal and professional reasons:
We may disclose personal data if required by law, or to protect our rights, respond to legal requests, or work with professional advisers like law firms and auditors.

International transfers:
If we transfer your personal information across borders, we take appropriate steps to make sure it’s protected. This includes using contracts and safeguards that meet global data protection standards.

Keeping your data safe

We use industry-standard security measures to protect personal information from loss, misuse, or unauthorized access. Only approved personnel and partners who need the data to do their work have access to it, and they are required to keep it confidential.

While we do everything we can to secure data, no online transmission or storage system can be guaranteed to be completely secure.

Your rights

You have rights over the personal information we hold about you. Depending on local laws, you may:

  • Ask for confirmation that we hold your personal data and request a copy.
  • Ask us to correct or complete your personal data if it is inaccurate or incomplete.
  • Request that we delete your personal data in certain cases, for example, if it is no longer needed or was processed unlawfully.
  • Ask us to restrict how we use your data while we resolve a concern or verify its accuracy.
  • Object to our use of your personal data, particularly if it’s being used for direct marketing.
  • Request that we transfer your data to you or another organization (where technically possible).
  • Withdraw consent if you previously gave it for a specific purpose.

We aim to respond to all valid requests within a reasonable timeframe and in line with data protection laws.

Updates to this policy

We may update this Privacy Policy from time to time. Any changes will be published here with a new revision date. We encourage you to review this page periodically to stay informed about how we protect your information.

When you register for a training, workshop, or event hosted by O Academy (Pty) Ltd trading as Omega Academy (“Omega Academy”), these Terms and Conditions (“Terms”) apply. They govern your registration, participation, and use of our event platforms, whether the event is held virtually, in person, or in a hybrid format.

All class registrations, attendance tracking, and participation in Omega Academy Unplugged events are managed exclusively through the Omega App. By using the app, you agree to follow all registration, attendance, and participation processes outlined there.

Event Registration

Registration: To join an event, you must complete the registration process via the Omega App. Some events may be virtual only, while others may include in-person attendance if a majority of registered students choose to attend physically. Omega Academy reserves the right to determine what constitutes a majority, and if no majority is established, the class will remain virtual.

Payment and Invoicing

Payment Terms: For paid events, full payment is required before the event date. You will receive an invoice through the Omega App after registering, and it must be paid within the timeframe stated on the invoice.

Event Changes

We may make changes to event details, including the date, time, format, or platform. If there are significant updates, we will notify registered participants via the Omega App as soon as possible.

In-Person Attendance and Vendor Requirements

For in-person classes or hybrid events, we use third-party venue suppliers. Students attending in person must comply with all safety and conduct guidelines provided by the venue or supplier. Omega Academy is not responsible for any loss, damage to property, injury, or other incidents that occur on third-party premises. Participation in in-person events is at your own risk.

Liability

To the fullest extent permitted by law, Omega Academy, its team, and its partners are not responsible for any loss, damage, injury, or other consequences arising from your registration or participation in any event, whether virtual or in person. Event materials, discussions, or training content are provided for educational purposes and do not constitute formal advice.

Data Protection

We collect and process personal information for administrative and invoicing purposes related to the event. For full details on how we manage your data, please refer to our Privacy Policy.

Governing Law

These Terms are governed by the laws of the Republic of South Africa. Any disputes will be handled in South African courts.

Amendments

We may update these Terms from time to time. The latest version will always be available on our website and in the Omega App. By registering for or attending an event after updates are made, you agree to the revised Terms.
